What is email migration?

The process of moving your email accounts, mailboxes, and your email service from one system to another.

 

Requesting a Migration

If you need to migrate then login to your taxPRO account, add your mailboxes, and then open a support ticket requesting a migration. You may request up to 5 email accounts to be migrated free of charge. A migration fee may be applied on a case-by-case basis.

NOTE: Outlook 365 mail services cannot be migrated at this time. You must make a backup instead. More information HERE - We are not responsible for any lost emails or data when using Microsoft Outlook mail services.

Step by Step

  1. Login to your taxPRO Customer Account and create your mailboxes. Click My Products & Services > Business Mail > Accounts > Add Mailbox - Make sure to use a single, temporary password on all mailboxes for now.
  2. Collect the necessary info from your existing email service: IMAP server address, and current passwords (for optimal security please change to a single temporary password on all accounts for the migration).
  3. Send your migration request by opening a support ticket with the following information: source email address, source email password, and source IMAP server address. For the migration of multiple mailboxes, you can attach a CSV file with these details or just enter each email address and their password. (Note: if you used a different password for the new email accounts, notify us).
  4. Our team supervises the migration and lets you know once it has been completed. The duration of migration depends on the total size of the mailboxes, the original mail server's speed, and the already scheduled migrations - but it's usually completed within 2-3 business days.
  5. Once we have completed the migration we will update your DNS so your email will begin flowing on our servers.
  6. You may set up your email clients once notified of completion (Outlook, Windows Mail, etc.) using the new email settings we have provided for you. You may need to delete your email account and re-add it with the appropriate settings if using Outlook.
  7. Lastly, you may import your contacts and calendars into your webmail and your email client.

 

Contact and Calendar Migration

We can also import your Contacts and Calendar. To request this kind of migration, please open a support ticket. We will ask for you to provide an export of your contacts and calendars for each mailbox.

 

Update on Microsoft Outlook Email Migrations (As of November 2023)

Due to recent changes by Microsoft, direct email migrations are no longer feasible. We recommend users to manually backup and export their emails, contacts, and calendar events, and then set up their new account with us. For assistance with this process, please contact our support team.

 

DIY Email Migration With Outlook:

If you wish to do things yourself here is how you may approach it.

  1. Login to your taxPRO account and create the mailboxes. My Products & Services > Business Mail > Accounts > Add Mailbox
  2. Export your emails, contacts, and calendars from Outlook.
  3. Notify us to switch your DNS email records. It could take up to 24 hours for this change to propagate.
  4. Set up each email account using the new email settings we have provided for you. You may need to delete your email account from Outlook and re-add it with the appropriate settings.
  5. Import your emails, contacts, and calendars into Outlook.
  6. Let Outlook sync with our server. This might take a while depending on how many emails you have.
  7. Log in to your webmail and check if all of your emails are on our server. If you did the migration successfully all of your emails should be on there as well.
  8. Lastly, you may import your contacts and calendars into the webmail.
